2. The essentials

• This website sets no cookies and uses no analytics or tracking services.
• No third-party content is loaded when you visit; fonts are served from our own server.
• We only process personal data when you contact us via a form, email or phone – and for the technical operation of the website (server log files).

3. Hosting and server log files

The website is operated by DigitalOcean, LLC (USA) on a server in its Frankfurt am Main data centre (EU). With every request the web server automatically stores: IP address, date and time, requested page, amount of data transferred, status code, referrer URL and browser identifier (user agent).

The purpose is to deliver the website and to detect and defend against attacks. The legal basis is our legitimate interest in secure and stable operation (Art. 6(1)(f) GDPR). Log files are deleted after 14 days.

We have a data processing agreement with DigitalOcean (Art. 28 GDPR). As DigitalOcean is a US company, access from the USA cannot be fully ruled out; this is covered by the European Commission's standard contractual clauses (Art. 46(2)(c) GDPR).

4. Pilot and contact forms

When you use one of our forms, we process the details you enter: name, email address, your message and – depending on the form – company, job title, phone number, your request and how you heard about us. We also store the time, the language and the page you submitted from. Your IP address is used only briefly in memory to limit the number of requests per sender and so prevent abuse; it is not stored.

We use this data solely to answer your request and – if you wish – to prepare a pilot project. The legal bases are pre-contractual measures (Art. 6(1)(b) GDPR) and our legitimate interest in handling enquiries and preventing abuse (Art. 6(1)(f) GDPR).

The data is stored on our server in Frankfurt. So that we can respond promptly, we receive a notification with your details by email, and you receive a confirmation of receipt at the address you entered. Both emails are sent via the email service Resend (USA) through a data centre in Ireland (EU), under a data processing agreement (Art. 28 GDPR) and the European Commission's standard contractual clauses (Art. 46(2)(c) GDPR). Beyond that, we do not pass the data on to third parties. It is deleted automatically 12 months after receipt unless a contractual relationship results or statutory retention obligations apply.

5. Contact by email or phone

If you contact us by email or phone, we process your details to handle your request (Art. 6(1)(b) or (f) GDPR). Our mailboxes are hosted by Zoho Mail (Zoho Corporation B.V., Netherlands) with storage in EU data centres. A data processing agreement with Zoho is in place (Art. 28 GDPR).

6. Your rights

You have the right at any time to:

• access the data we hold about you (Art. 15 GDPR),
• rectification (Art. 16 GDPR) and erasure (Art. 17 GDPR),
• restriction of processing (Art. 18 GDPR),
• data portability (Art. 20 GDPR),
• object to processing based on Art. 6(1)(f) GDPR (Art. 21 GDPR).

Just write to info@mectosys.com. You can also lodge a complaint with a data protection supervisory authority, for example the Thuringian State Commissioner for Data Protection and Freedom of Information (TLfDI), Häßlerstraße 8, 99096 Erfurt, Germany.

7. Obligation to provide data, automated decisions

Providing data is voluntary. Without the fields marked as required, however, we cannot process your request. No automated decision-making or profiling takes place.

8. Changes

We update this privacy policy when the website or the law changes. The version published here applies.
